This is a backend support role designed to bridge the gap between clinical procedures and administrative excellence. You will not be chairsiding in a physical office; instead, you will be the "digital backbone" of the dental practice, ensuring that every patient interaction is backed by accurate documentation, seamless coordination, and proactive treatment tracking.

Detailed Responsibilities
1. Comprehensive Chart Management
The integrity of a dental practice relies on its records. Your primary responsibility is to maintain "audit-ready" patient charts:
- Real-Time Updates: Manually update patient records within dental software systems (e.g., Dentrix, Open Dental, Eaglesoft) based on provider instructions.
- Document Categorization: Upload and label clinical images, x-rays, and scanned referral slips.
- Compliance Check: Ensure that all mandatory fields, such as medical history updates and consent forms, are completed before a patient’s scheduled appointment.
2. Treatment Plan Coordination & Workflow
You will act as the traffic controller for pending dental procedures:
- Case Tracking: Monitor treatment plans that have been presented but not yet scheduled.
- Follow-Up Management: Support the recall workflow by identifying patients who are overdue for cleanings or specific phases of a multi-step procedure (like crown seats or implant follow-ups).
- Insurance Pre-Authorizations: Coordinate with the billing department to ensure that treatment plans are verified and insurance authorizations are attached to the patient's digital file prior to the procedure.
3. Administrative Clinical Support
Maximize the provider’s efficiency by preparing the digital environment:
- Template Preparation: Pre-load clinical note templates for common procedures such as fillings, extractions, and evaluations so the dentist can quickly finalize them.
- Task Management: Manage digital task lists and internal "buckets" to ensure that lab cases (e.g., crowns, dentures) have arrived and are logged before the patient arrives.
- Internal Communication: Serve as the central point of contact for providers regarding missing documentation or administrative hurdles that could delay patient care.
Required Qualifications & Skills
Technical Proficiency
- Dental Software Knowledge: Previous experience or high comfort level navigating platforms like Dentrix, Eaglesoft, or Open Dental.
- Digital Toolkit: Mastery of Google Workspace (Docs, Sheets, Drive) and Microsoft Office.
- Collaboration Tools: Ability to use Slack, Zoom, and Microsoft Teams for real-time internal communication.
Soft Skills & Professionalism
- Process-Driven Mindset: You enjoy following a structured "checklist" approach to ensure nothing falls through the cracks.
- Attention to Detail: You can spot a missing signature or an incorrectly labeled x-ray from a mile away.
- Time Management: Since this is a remote role, you must be a self-starter who can prioritize high-volume tasks during peak US business hours.
- Confidentiality: A strict understanding of HIPAA and data privacy standards is mandatory.
Experience Requirements
- Minimum Experience: 1–2 years in a dental administrative, front-desk, or back-office role is preferred.
- Education: High school diploma or equivalent; certification in Dental Assisting or Healthcare Administration is a significant plus.
- Language: Fluent professional English (written and verbal) is required to communicate effectively with US-based clinical teams.
