How to Prepare for This Role

The Junior Executive-II / Office Assistant-III (Finance) at IST Islamabad is an EBPS-14 contract post requiring B.Com/BBA in Finance or Accounting (minimum 14 years education, 1st division), proficiency in MS Office Suite, and 16 years of post-qualification experience in the relevant field. Maximum age is 30 years. The post supports IST's Finance department with accounting, financial documentation, and office administration tasks. The four areas below reflect what the panel evaluates for this finance and office support role.

๐Ÿ“Œ
Note: First class in final degree mandatory (min 60% annual / CGPA 2.5/4.0 semester). Only one second division allowed from matric onwards. No third division permitted. Minimum 14 years of education required (B.Com or BBA). 16 years post-qualification experience required. MS Office Suite proficiency mandatory. Age max 30 years. Last date: 9th July 2026.
1Qualification, Experience Documentation, and MS Office Proficiency

This post requires a B.Com or BBA in Finance/Accounting (minimum 14 years of education) in 1st division. The 14-year minimum means B.Com (14 years: Matric + FA/FSc + 2 years B.Com) is the floor, and BBA (16 years) also qualifies. Ensure your degree is from an HEC-recognized institution and your result shows 1st division (minimum 60% in annual system). Alongside the degree, 16 years of post-qualification experience in Finance or Accounting is mandatory. Collect attested experience certificates from all previous employers covering the full 16 years, with each certificate clearly stating the job designation, nature of work, and exact dates. MS Office Suite proficiency (particularly Word, Excel, and PowerPoint) is part of the stated qualification. Be ready to demonstrate or describe your use of Excel for financial records, Word for correspondence, and basic data entry and report formatting tasks.

Tip
Bring an experience summary listing each organization, your designation, the accounting or finance tasks performed (voucher preparation, ledger maintenance, bank reconciliation, financial reporting, etc.), and the period of employment. Ensure the total adds up to 16 years and the nature of work is relevant to Finance or Accounting, not a general office or administrative role.
2Accounting Fundamentals and Finance Department Support Tasks

As a Junior Executive / Office Assistant in the Finance department, the role involves supporting day-to-day accounting and financial record-keeping tasks. Interview questions may cover: how to prepare payment vouchers, record entries in a cash book or ledger, carry out a bank reconciliation statement, maintain petty cash, and assist in preparation of monthly or quarterly financial statements. The panel may also ask about understanding of basic accounts concepts such as double-entry bookkeeping, debit/credit rules, trial balance preparation, and the difference between cash and accrual accounting. Given the 16-year experience requirement, candidates should be confident discussing these tasks from their own professional history and demonstrating familiarity with the kind of Finance department routines found in government or semi-government organizations.

Key Point
Be prepared to walk through a concrete example of a finance-related task from your experience, such as how you maintained ledger entries for a specific account, how you prepared a bank reconciliation, or how you handled petty cash requests and monthly reconciliation. Practical examples are more persuasive than theoretical knowledge for a junior support-level finance post.
3MS Office Skills and Financial Documentation

MS Office Suite proficiency is a stated requirement and is likely to be assessed either through a practical test or through interview questions. Be ready to demonstrate or describe: how to maintain a daily transactions log in Excel using formulas (SUM, AVERAGE, IF, VLOOKUP); how to prepare a formatted financial report or letter in Word; how to create a simple presentation in PowerPoint for finance summaries; and how to use Excel to produce a monthly expense sheet or bank reconciliation template. The Office Assistant-III designation also implies general office documentation skills such as drafting correspondence, filing financial records, handling incoming and outgoing files in the Finance department, and maintaining a register of financial transactions. At IST, which is a government-linked institution, compliance with financial procedures and accurate record-keeping are central to the role.

Tip
If a practical test is scheduled, practice creating an Excel spreadsheet with a simple income-expense register including formulas for totals, balances, and basic formatting. Neatness, accuracy, and the use of formulas rather than manual calculations will signal genuine MS Office proficiency to the panel.
4Application Package and Submission to IST HR Department

Download and complete the official application form from https://ist.edu.pk/downloads?section-opportunities=&section=career-opportunities. Send a completely filled and duly signed application form with: detailed updated CV, attested photocopies of all degrees/transcripts/mark sheets from matric onwards, attested experience certificates covering 16 years of relevant Finance or Accounting experience, CNIC, and a recent passport size photograph. If serving in a Govt./Semi-Govt./Autonomous body, include an NOC from your employer. Address the envelope to HR Department, Institute of Space Technology (IST), 1, Islamabad Highway, Islamabad. Mark the position applied for on the right hand side. Applications must reach IST by 9th July 2026.
