How to Prepare for This Role
- The interview panel will open with questions on the structure and governance of postgraduate education at a public sector university. Be prepared to explain how an office of Advanced and Postgraduate Studies functions within a university, what its relationship is with academic departments and the Academic Council, and how it ensures quality and compliance across MPhil/MS and PhD programs. Prepare a concise description of the administrative machinery that supports postgraduate research from enrollment to degree award at an agriculture university specifically.
- Thesis evaluation and the viva voce process are central responsibilities of this role and the panel will probe your hands-on experience in this area. Prepare to describe how thesis evaluation is organized at the university level, how external examiners are nominated and managed, what the viva voce committee composition requirements are under HEC norms, and how degree award decisions are processed and communicated. If you have chaired thesis defense committees or served as an external examiner, be ready to walk through a specific example.
- HEC postgraduate regulations are a stated expertise requirement and the panel will test how well you know them. Review HEC's policies on MPhil/MS and PhD program requirements, minimum credit hours, research proposal approval processes, mandatory publications for PhD completion, and the rules governing conversion from MPhil to PhD. If HEC has issued recent circulars or policy updates affecting postgraduate programs, be familiar with those as they signal the kind of compliance challenges the Director will face.
- Research ethics enforcement and anti-plagiarism policy implementation are explicitly listed skills for this role. Be ready to explain how a university-level anti-plagiarism system works, what the standard similarity thresholds are for thesis submission, and what actions are taken when plagiarism is detected. Prepare an account of how you have applied or enforced a research ethics framework in your own academic or administrative work, including any cases where you had to investigate or adjudicate a breach.
- The Advanced Studies and Research Board is the governing body for postgraduate matters and the Director chairs or services its meetings. The panel will expect you to know the rules of business for these board meetings, including what decisions require board approval, how agenda items are prepared, how minutes are recorded and actioned, and how board decisions interface with the Academic Council and syndicate. If you have served as secretary or member of a research board or similar body, describe that experience in specific terms.
- As a BPS-20 position requiring 10 years at BPS-17 or above, the panel will assess your capacity to lead at the level of a director within a large public sector university. Prepare examples that demonstrate how you have managed academic or administrative teams, coordinated with multiple departments or faculties, resolved institutional disputes in postgraduate processes, and driven systemic improvements in research program management. Be specific about your grade and reporting line in each example so the panel can judge whether your experience genuinely meets the seniority threshold for this post.
