About the Job
Institute of Space Technology (IST) Islamabad invites applications from qualified candidates for 01 post of Senior Library Assistant at EBPS-14 on a contract basis. This role supports the day-to-day operations of IST's library including cataloguing, circulation, resource management, and assisting faculty and students with information retrieval. The initial contract period is two (02) years, extendable on performance basis. Nine years of post-qualification experience in a relevant field is required. All practical tests and interviews are conducted at IST Islamabad campus only.

Qualification

Important Information / Application Guidelines
- All qualifications should only be from the Boards of Intermediate and Secondary Education / Technical Education recognized by the Federal / Provincial / AJK Governments and well reputed universities / institutions recognized by the HEC, as applicable.
- First class in final degree is mandatory. Only one second class / division in the entire academic career from matric onwards is allowed. First class / division means a minimum of 60% marks for annual system or a minimum CGPA of 2.5 out of 4.0 for semester system. Second class / division means a minimum of 50% marks for annual system or a minimum CGPA of 2.0 out of 4.0 for semester system.
- No third division/class (marks less than 50% in annual system or CGPA less than 2.00/4.00 in semester system) in the entire academic career is allowed.
- All posts are Islamabad based. Practical Test/Interviews will be conducted at IST, Islamabad campus only.
- Applications with academic qualifications/degrees and experience in the relevant field will be considered only.
- Age will be calculated on the closing date of applications. Ex-Govt. officials / Ex-servicemen who fulfill the eligibility criteria may be granted age relaxation as per Govt. rules.
- Candidates selected will be offered an initial contract for a period of two (02) years (extendable).
- Ex-Govt. officials / Ex-servicemen should submit attested copies of their release/retirement order and Last Pay Certificate (LPC) duly verified from the concerned authority.
- Serving Employees of Govt. / Semi Govt. / Autonomous organizations should submit a No Objection Certificate (NOC) from their respective organizations regarding permission to apply.
- Serving Regular Employees of Govt. / Semi Govt. / Autonomous organizations will not be appointed on deputation / EOL. In case of selection, the applicant will be required to tender resignation from regular service.

How to Prepare for This Role
The Senior Library Assistant at IST Islamabad is an EBPS-14 contract post requiring a Bachelor of Library Sciences or Library and Information Sciences (1st division) with computer literacy and 09 years of post-qualification experience in a relevant field. The selection includes a practical test and/or interview at IST Islamabad campus. IST's library serves engineering, space science, and technology students and faculty, making specialized technical library knowledge a strong advantage. The four areas below address what the interview panel assesses most closely.
Your Bachelor of Library Sciences (BLS) or Bachelor of Library and Information Sciences (BLIS) must be in 1st division (minimum 60% marks annual or CGPA 2.5/4.0 semester) from an HEC recognized institution. Additionally, 09 years of post-qualification experience in a library or information services setting is required. Bring originals and attested photocopies of your degree, transcripts, and mark sheets from matric onwards. For experience, bring attested copies of experience certificates from each organization you have worked at, clearly showing dates of service and the nature of library work performed. The experience must total at least 09 years and be post-BLS/BLIS qualification. Ensure your experience certificates are on the letterhead of the issuing organization, signed by the relevant authority, and attested.
Prepare a consolidated experience summary table listing each employer, your role/title, the nature of library functions performed, and the exact dates (month and year) of service. Calculate the total years of experience clearly and attach this summary to your application. Panels at public sector institutions calculate experience strictly and gaps or overlaps in dates can affect eligibility.
Senior Library Assistants are expected to manage core library technical services including cataloguing new acquisitions using AACR2 or RDA standards, classification using Dewey Decimal Classification (DDC) or Library of Congress Classification (LCC), maintaining the card or computerized catalogue (OPAC), processing periodicals and journals, and managing the circulation desk (issue, return, reservation, and overdue notices). The panel will assess your fluency with these processes. Be prepared to explain how you would catalogue a new science textbook, how you would handle an OPAC search query from a student, and how you would manage a high-demand item with multiple reservations. For a science and technology university like IST, knowledge of scientific and engineering literature, IEEE/ACM digital library access, and journal subscription management is particularly valuable.
IST's library serves space science, engineering, and technology disciplines. Familiarity with scientific literature databases (IEEE Xplore, ACM Digital Library, ScienceDirect, Springer) and HEC's digital library resources (HEC Digital Library / PERN) will strengthen your interview performance significantly. Be ready to explain how you assist research students and faculty with literature searches in technical fields.
The post explicitly requires computer literacy and proficiency in MS Office Suite. The panel will assess your ability to use MS Word for correspondence and reports, MS Excel for library inventory and statistics, and MS Outlook or similar tools for communication. Beyond MS Office, Senior Library Assistants in academic institutions are expected to work with a Library Management System (LMS) such as Koha, ALICE, or similar software for circulation, cataloguing, and acquisitions management. If you have experience with any library automation software, describe the system, what modules you used (cataloguing, circulation, OPAC, acquisitions), and your level of proficiency. The ability to generate statistical reports on library usage, acquisitions, and circulation from the LMS is a valued skill for a senior-level assistant role.
If you have experience with Koha (widely used in Pakistani university libraries), prepare to demonstrate your knowledge of its cataloguing module (MARC21 record entry), circulation module, and OPAC configuration. Koha is open-source and widely deployed in HEC-affiliated university libraries, making Koha experience directly relevant to IST.
