Job Purpose & Key Responsibilities
The primary purpose of this role is to handle basic, foundational accounting tasks such as bank reconciliations, vendor reconciliations, processing petty expense claims, creating Local Purchase Orders (LPOs) for in-house expenses, and reviewing employee timesheets.
Daily duties and core responsibilities include:
- Petty Cash & Expense Claims: Compiling and scrutinizing petty cash claims with vouchers, reviewing expenses, obtaining necessary approvals, and releasing payments within the set time frame while maintaining proper procedures and documentation.
- Accounts Receivable Support: Sending statements of accounts (SOA) or invoices along with required documentation to customers, following up for timely payments, and visiting major customers where payments are held up to actively support the Accounts Receivables function.
- Payment Allocation & Query Resolution: Sending receipts to customers upon collection, matching transactions with system details to eliminate discrepancies, and settling SOA queries in coordination with Project Coordinators and the Credit Controller.
- Supplier Ledger & Invoice Management: Reconciling supplier ledgers with supplier statements and ARC books to facilitate timely payments; assisting with advances to suppliers, booking supplier invoices, updating supplier ledgers, and completing supplier invoice verification.
- Financial Assistance: Assisting senior finance staff with Bank Guarantees, Letters of Credit (LCs), and month-end closing entries.
- Management Reporting: Preparing other MIS reports as required by management, including bank balances and facilities reports.
- Policy Compliance: Ensuring all assigned accounting tasks are carried out as per generally accepted accounting policies and relevant corporate Standard Operating Procedures (SOPs).
