About the Job

Institute of Space Technology (IST) Islamabad invites applications from qualified candidates for 01 post of Assistant Director (Hostels) on a contract basis. This role oversees day-to-day hostel administration, student residential life, and facility management at IST's Islamabad campus. The initial contract period is two (02) years, extendable on performance basis. No prior post-qualification experience is required for this position. All practical tests and interviews are conducted at IST Islamabad campus only.

Important Information / Application Guidelines

  1. All qualifications should only be from the Boards of Intermediate and Secondary Education / Technical Education recognized by the Federal / Provincial / AJK Governments and well reputed universities / institutions recognized by the HEC, as applicable.
  2. First class in final degree is mandatory. Only one second class / division in the entire academic career from matric onwards is allowed. First class / division means a minimum of 60% marks for annual system or a minimum CGPA of 2.5 out of 4.0 for semester system. Second class / division means a minimum of 50% marks for annual system or a minimum CGPA of 2.0 out of 4.0 for semester system.
  3. No third division/class (marks less than 50% in annual system or CGPA less than 2.00/4.00 in semester system) in the entire academic career is allowed.
  4. All posts are Islamabad based. Practical Test/Interviews will be conducted at IST, Islamabad campus only.
  5. Applications with academic qualifications/degrees and experience in the relevant field will be considered only.
  6. Age will be calculated on the closing date of applications. Ex-Govt. officials / Ex-servicemen who fulfill the eligibility criteria may be granted age relaxation as per Govt. rules.
  7. Candidates selected will be offered an initial contract for a period of two (02) years (extendable).
  8. Ex-Govt. officials / Ex-servicemen should submit attested copies of their release/retirement order and Last Pay Certificate (LPC) duly verified from the concerned authority.
  9. Serving Employees of Govt. / Semi Govt. / Autonomous organizations should submit a No Objection Certificate (NOC) from their respective organizations regarding permission to apply.
  10. Serving Regular Employees of Govt. / Semi Govt. / Autonomous organizations will not be appointed on deputation / EOL. In case of selection, the applicant will be required to tender resignation from regular service.
  11. Applicants can apply for one post only.
  12. Compliance to eligibility criteria does not guarantee shortlisting for practical test (if required) / interview.
  13. Late/Incomplete applications and those submitted without attested copies of complete academic and experience documents will not be processed further.
  14. No TA/DA will be admissible for appearing in the practical test (if required) / interview.

1MBA/BBA in Marketing/Management (1st Division) and Academic Record

Your MBA or BBA (4 years) degree must have a major or specialization in Marketing or Management from an HEC recognized university, secured in 1st division (minimum 60% in annual system or CGPA 2.5/4.0 in semester system). No post-qualification experience is required. Since this is an entry-level management post, the panel evaluates your academic standing rigorously. Confirm that your transcript explicitly names Marketing or Management as your major and that your final degree is in 1st division. Prepare a clear academic summary from matric through to your final degree listing marks/CGPA, institution, and year of completion. Bring originals and attested photocopies of all mark sheets from matric onwards, your degree certificate, and your final transcript. The scrutiny panel will verify the one second division rule across your entire academic career.

Tip
If your degree is an equivalent degree (other than MBA or BBA 4yr), confirm from HEC's website that it is recognized and carries 16 or 4 years of education respectively. Bring printed or saved evidence of HEC recognition to the interview panel if queried.
2Hostel Administration: Residential Operations and Student Welfare

The Hostels department at a public sector university manages room allocation and boarding processes, maintenance coordination, mess and catering oversight, student discipline and code of conduct enforcement, and residential student welfare. The panel will expect you to demonstrate understanding of how a university hostel operates as both a residential facility and a support structure for academic life. Be prepared to discuss how you would manage the room allocation process for a new academic year, how you would handle a discipline case involving hostel residents, and how you would coordinate hostel maintenance requests with the facilities team. If you have any experience managing residential accommodation, student housing, or organizational operations from academic projects, internships, or community work, describe it in this context. Awareness of university hostel regulations in Pakistani public sector universities is an advantage.

Key Point
IST has a residential student population including students from other cities and SUPARCO-sponsored trainees. The panel will assess your ability to maintain discipline and a productive residential environment while also providing student welfare support. Think about how you balance authority with empathy when dealing with residential student issues.
3Facility and Resource Management in a University Residential Setting

Hostel administration involves management of physical assets: rooms, common areas, IT/internet access, laundry, dining, and security within the residential block. The panel may ask how you would manage the hostel budget, how you would prioritize maintenance requests, and how you would maintain records of hostel room occupancy and allocation. Be ready to discuss how you would coordinate with vendors (food suppliers, maintenance contractors) and how you would handle emergencies (medical, security) in a residential setting after office hours. Apply your MBA/BBA management knowledge to resource allocation, vendor management, and operational planning in this residential context. These are the management concepts the panel expects you to demonstrate at EBPS-17 level without prior work experience.

Tip
Prepare a brief example of how you would set up a room allocation system for a new academic year covering 200 resident students. The example should include allocation criteria, record keeping, dispute resolution, and communication to students. This tests operational management thinking at the entry level for a fresh management graduate.
