About the UNOPS

The United Nations Office for Project Services (UNOPS) is seeking an Administration Associate to support multiple projects by providing comprehensive administrative and logistics support. Key Functions and Accountabilities

The Administration Associate performs—and may supervise personnel in delivering—technical and administrative support services across the following areas:

1. Administrative Services Coordination

  • Guide personnel on executing standard office transactions, processes, and client services.
  • Draft formal correspondence and conduct follow-up visits and calls with vendors and government departments.
  • Implement control mechanisms for designated administrative services, keeping accurate administrative control records such as commitments and expenditures.
  • Coordinate protocol services, including staff registration and securing host government authorizations, privileges, and immunities for UNOPS personnel.
  • Compile information on administrative services provided for cost-recovery billing.
  • Monitor team performance against service agreements and assess client satisfaction.

2. Logistics, Transportation, and Asset Management

  • Oversee the implementation of logistics systems and coordinate services related to shipments, customs clearance, building/facility/space management, and office supplies.
  • Manage inventory control, ensuring proper issuance, tracking, and physical verification of inventory items and supplies.
  • Timely prepare and submit periodic inventory reports.
  • Supervise transportation services, ensuring regular vehicle maintenance, insurance coverage, and fuel consumption monitoring.
  • Coordinate prompt reporting and investigation of vehicle accidents, damage, loss, or theft while maintaining updated vehicle history records.
  • Oversee external transportation contractors, including monitoring client service delivery and processing invoices.

3. Knowledge Building & Sharing

  • Support the organization, facilitation, and delivery of training and learning sessions on administrative, logistics, travel, transportation, and asset/inventory management topics.

Required Qualifications and Experience

Education:

  • Secondary school diploma (or equivalent) with a minimum of six (6) years of relevant experience; OR
  • A Bachelor's degree (or equivalent) in any discipline with a minimum of two (2) years of relevant experience is required.
  • A globally or nationally recognized professional certificate in Administration is highly desired.

Experience:

  • Progressively responsible, relevant work experience in administration, logistics, or operations is required.
  • Demonstrated proficiency in using collaboration and productivity tools (e.g., MS Office, G-Suite, etc.) and web-based management systems is required.
  • Experience working in multicultural environments or within UN system organizations in a developing country is highly desired.
  • Experience working in development or humanitarian contexts is desired.

Language Requirements:

  • Complete fluency (written and spoken) in English is required.
  • Complete fluency (written and spoken) in Urdu is required.
